Track papers that expire

Record the reference and the expiry date of the documents your people must hold, and be warned before one lapses.

Before you start

Some jobs cannot be done by somebody whose papers have lapsed. A security agent without a valid carte professionnelle should not be at the gate; an electrician without a current habilitation should not be on the chantier.

Horizon213 keeps the reference and the date, and warns you before the day arrives.

Record a document

People, then the Documents that expire section.

Pick the employee, choose what kind of document it is, and give it whatever you know:

What to look at:

  1. Document — what kind of paper it is.

  2. Reference — the number on the paper.

  3. Expires — the one that matters. A document with no expiry is still worth recording, it simply never appears in the warning band.

The kinds cover what an Algerian employer actually files: identity card, residence certificate, driving licence, medical certificate, professional card, training or habilitation, contract, and other.

What is warned about, and when

The section leads with everything expiring within sixty days, soonest first, and anything already expired is shown in brick at the top of that list.

Sixty days is chosen to be long enough to renew a document without a rush and short enough that the list stays worth reading. Everything else is one press away behind Show all.

What this deliberately does not do

Horizon213 does not store the document. There is no file upload here and there is not meant to be.

Two reasons, and both are deliberate:

  • Holding scans of identity papers is a promise about the custody of personal data, and a general business tool should not make that promise quietly as a side effect of a convenience feature.

  • The date is what actually drives the reminder. The paper itself stays in the folder it is already in, where the person who needs to show it can find it.

It also does not stop anybody working. Horizon213 tells you a card expires in three weeks; deciding who stands at the gate is yours.

When somebody's paper is renewed

Record the new one and remove the old.

Removing takes it out of the list rather than erasing the fact it existed — corrections are reversals is the same principle applied everywhere in Horizon213.
